FreeAgent's own capture handles a clean photo of a single receipt well. Where it gets harder is the messy end of the pile — faded till receipts, handwritten notes, supplier invoices with a dozen lines, or documents mixing standard-rated, zero-rated, and exempt items.
SparkReceipt's AI reads the whole document in context rather than matching it against a template. It extracts supplier, amount, date, VAT, and individual line items, and it reads the VAT actually shown on the document instead of applying an assumed rate. Each line is categorised against your own FreeAgent categories, imported when you connect, and published as a bill you don't have to touch.

Here's the whole loop. Capture a receipt — phone photo, file upload, or a receipt fetched automatically from your Gmail, Microsoft, or IMAP inbox. The AI pulls out supplier, amount, date, VAT, currency, and line items. The expense is categorised against your FreeAgent categories. It publishes as a FreeAgent bill with the receipt image attached, and if you've marked it paid and chosen a bank account, SparkReceipt records the bank transaction explanation too — so the bill shows as paid in FreeAgent.
Income works the same way: sales invoices publish to FreeAgent as invoices, marked as sent, with the payment recorded when paid. Publish one document at a time, in bulk, or switch on auto-publish and forget about it.

The FreeAgent integration is available on every account today. Sign up for SparkReceipt, open Integrations from the sidebar in the web app, and click Connect to FreeAgent. Sign in to FreeAgent, approve the connection, and SparkReceipt imports your categories, VAT rates, bank accounts, and contacts straight away. If anything doesn't look right, message us in the in-app chat and a founder will answer.
Any FreeAgent company set up as a UK business — sole trader, partnership, LLP, or limited company — including FreeAgent accounts that come free with NatWest, Royal Bank of Scotland, Ulster Bank, or Mettle business banking. The FreeAgent user who makes the connection needs at least the Banking permission level in FreeAgent, because recording payments needs access to your bank accounts. FreeAgent accounts set up as US or universal companies aren't supported yet.
It depends what you're scanning. FreeAgent's own capture is fine for a clean photo of a single receipt. SparkReceipt is built for the rest — faded till receipts, handwritten notes, multi-line supplier invoices, mixed VAT rates, receipts in other languages and currencies — plus the capture FreeAgent doesn't do at all: fetching receipts from your inbox automatically and matching bank statement transactions to the receipts that prove them. Everything publishes to FreeAgent with the image attached.
Yes. Scan a receipt in SparkReceipt — phone photo, PDF upload, or a receipt fetched from your inbox — and the extracted data publishes directly to FreeAgent as a bill, categorised against your own FreeAgent categories with the receipt image attached. No CSV exports, no copy-pasting.
Yes. When an expense is marked as paid in SparkReceipt and a bank account is chosen — per document or as a default — SparkReceipt records a bank transaction explanation on that account in FreeAgent, so the bill shows as paid. It appears as a manual bank transaction on that account. Unpaid bills stay open for you to explain from your bank feed as usual, and the paid marking is only recorded when the bank account uses the same currency as the receipt.
Yes. FreeAgent accepts one file per bill — an image or PDF up to 5 MB — and SparkReceipt attaches the receipt image there, compressing large photos to fit. If a document has several files, the extra ones are attached to the payment explanation once the expense is paid. FreeAgent invoices don't accept attachments, so for income the files are attached to the payment explanation when the invoice is paid.
It reads the VAT shown on the document rather than applying an assumed rate. That matters on invoices mixing standard-rated, zero-rated, and exempt items, and on purchases from suppliers who aren't VAT registered. Line-item extraction is included in the Elite plan, so the breakdown comes through rather than a single total. Your FreeAgent VAT rates are imported when you connect and applied line by line; if your company isn't VAT registered, bills publish without VAT, as FreeAgent expects.
It helps with the record-keeping side. FreeAgent is HMRC-recognised software and handles your VAT returns and MTD submissions. SparkReceipt makes sure the records behind those figures are complete: every expense published as a bill with the receipt image attached and the VAT read from the document. SparkReceipt does not submit anything to HMRC itself — FreeAgent files, SparkReceipt captures.

Yes. SparkReceipt reads receipts in virtually any language and processes 190 currencies, and each document publishes to FreeAgent as a bill or invoice in its original currency. Useful if you buy from EU suppliers or pay for software priced in US dollars. The paid marking is recorded only when the chosen bank account uses the same currency as the document; a foreign-currency bill still publishes with the image attached, and you explain the payment in FreeAgent as you normally would.
