Summary of Key Points
What personal information do we process? When you visit, use, or navigate our Services, we may process personal information depending on how you interact with SparkReceipt Oy and the Services, the choices you make, and the products and features you use.
Do we process any sensitive personal information? We do not ask for sensitive personal information. If you use Trips, we process the precise location of the trips you record, which some laws treat as sensitive. Documents you upload can also contain sensitive details, such as a pharmacy receipt, and we process them only as part of your documents.
Do we receive any information from third parties? We do not purchase or receive personal information about you from data brokers. If you connect an optional integration, such as an email inbox, a bank account, Google Calendar or accounting software like QuickBooks Online, we receive limited information from that provider solely to deliver the feature you enabled. See the sections on bank feeds, calendar trip suggestions, Gmail / email inbox data and accounting software data below.
How do we process your information? We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent. We process your information only when we have a valid legal reason to do so.
In what situations and with which parties do we share personal information? We may share information in specific situations and with specific third parties.
How do we keep your information safe? We have organizational and technical processes and procedures in place to protect your personal information. However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.
What are your rights? Depending on where you are located geographically, the applicable privacy law may mean you have certain rights regarding your personal information.
How do you exercise your rights? The easiest way to exercise your rights is by contacting us. We will consider and act upon any request in accordance with applicable data protection laws.
1. What Information Do We Collect?
Personal information you disclose to us
In Short: We collect personal information that you provide to us.
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.
Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
- names
- email addresses
- usernames
- passwords
- the documents you upload (receipts, invoices, bank statements and other files) and the data in them, such as merchants, amounts, dates and the last four digits of payment cards
- trips you record, including their addresses and GPS points
- if you turn on calendar trip suggestions, the meetings with an address from the calendars you choose (their time, title, address and your response to the invitation) and the names of your calendars
- messages you send to SparkAgent or to our support
Sensitive Information. We do not ask you for sensitive information. If you use Trips, we process the precise location (GPS points) of the trips you record, which some laws, such as the CCPA, treat as sensitive personal information. We use it only to calculate distances and routes for your Trips. Documents you upload can also contain sensitive details, such as a pharmacy receipt; we process them only as part of your documents.
Payment Data. We may collect data necessary to process your payment if you make purchases, such as your payment instrument number, and the security code associated with your payment instrument. The card and payment details you use to pay for a subscription are stored by our payment provider, Stripe or Paddle depending on how you subscribe, and not by us. You can read their privacy notices at https://stripe.com/privacy and https://www.paddle.com/legal/privacy. Purchases made in the iOS or Android app are handled by Apple or Google.
Social Login Data. We may provide you with the option to register with us using an existing account with Google, Apple, LinkedIn or Intuit. If you choose to register in this way, we will collect the information described in the section called "How Do We Handle Your Social Logins?" below.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In Short: Some information โ such as your Internet Protocol (IP) address and/or browser and device characteristics โ is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.
Like many businesses, we also collect information through cookies and similar technologies.
The information we collect includes:
Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called "crash dumps"), and hardware settings).
2. How Do We Process Your Information?
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
- To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
- To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service.
- To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.
- To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.
- To request feedback. We may process your information when necessary to request feedback and to contact you about your use of our Services.
- To send you marketing and promotional communications. We may process the personal information you send to us for our marketing purposes, if this is in accordance with your marketing preferences. You can opt out of our marketing emails at any time. For more information, see "What Are Your Privacy Rights?" below.
- To test and improve how accurately our Services read documents. A small number of our staff may review a limited sample of uploaded documents and the data we extracted from them, to measure and fix extraction mistakes. We never use these documents to train AI models, and we never include documents or data we receive through an integration you connect (such as your accounting software, email inbox or bank feed).
- To improve how our Services match bank transactions with documents. When users in at least three unrelated accounts confirm that the same bank statement text belongs to the same merchant, we may record that relationship (for example, that a card descriptor belongs to a particular company) and use it to suggest matches for all customers. Only the merchant names and bank statement text are used, never amounts, dates or account details. We only use bank statements and documents you upload yourself for this, never transactions from a bank feed you connect or documents imported from email.
- To save or protect an individual's vital interest. We may process your information when necessary to save or protect an individual's vital interest, such as to prevent harm.
3. What Legal Bases Do We Rely On to Process Your Information?
In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfill our contractual obligations, to protect your rights, or to fulfill our legitimate business interests.
If you are located in the EU or UK, this section applies to you.
The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:
- Consent. We may process your information if you have given us permission (i.e., consent) to use your personal information for a specific purpose. You can withdraw your consent at any time.
- Performance of a Contract. We may process your personal information when we believe it is necessary to fulfill our contractual obligations to you, including providing our Services or at your request prior to entering into a contract with you.
- Legitimate Interests. We may process your information when we believe it is reasonably necessary to achieve our legitimate business interests and those interests do not outweigh your interests and fundamental rights and freedoms. For example, we may process your personal information for some of the purposes described in order to:
- Send users information about special offers and discounts on our products and services
- Understand how our users use our products and services so we can improve user experience
- Test and improve how accurately our Services read documents, and how they match bank transactions with documents, as described in section 2
- Legal Obligations. We may process your information where we believe it is necessary for compliance with our legal obligations, such as to cooperate with a law enforcement body or regulatory agency, exercise or defend our legal rights, or disclose your information as evidence in litigation in which we are involved.
- Vital Interests. We may process your information where we believe it is necessary to protect your vital interests or the vital interests of a third party, such as situations involving potential threats to the safety of any person.
If you are located in Canada, this section applies to you.
We may process your information if you have given us specific permission (i.e., express consent) to use your personal information for a specific purpose, or in situations where your permission can be inferred (i.e., implied consent). You can withdraw your consent at any time.
In some exceptional cases, we may be legally permitted under applicable law to process your information without your consent, including, for example:
- If collection is clearly in the interests of an individual and consent cannot be obtained in a timely way
- For investigations and fraud detection and prevention
- For business transactions provided certain conditions are met
- If it is contained in a witness statement and the collection is necessary to assess, process, or settle an insurance claim
- For identifying injured, ill, or deceased persons and communicating with next of kin
- If we have reasonable grounds to believe an individual has been, is, or may be victim of financial abuse
- If it is reasonable to expect collection and use with consent would compromise the availability or the accuracy of the information and the collection is reasonable for purposes related to investigating a breach of an agreement or a contravention of the laws of Canada or a province
- If disclosure is required to comply with a subpoena, warrant, court order, or rules of the court relating to the production of records
- If it was produced by an individual in the course of their employment, business, or profession and the collection is consistent with the purposes for which the information was produced
- If the collection is solely for journalistic, artistic, or literary purposes
- If the information is publicly available and is specified by the regulations
4. When and With Whom Do We Share Your Personal Information?
In Short: We may share information in specific situations described in this section and/or with the following third parties.
We may need to share your personal information in the following situations:

Purchases made in the iOS or Android app are handled by Apple or Google under their own terms. Services you connect yourself, such as your accounting software, email inbox, calendar or bank, receive and send data at your request. "Bank feeds" and "Calendar trip suggestions" below and sections 7 and 8 describe how we handle that data.
When a provider processes personal data outside the European Economic Area, we rely on the EU-US Data Privacy Framework where the provider is certified under it, on an adequacy decision of the European Commission (for example for the United Kingdom), or otherwise on the European Commission's Standard Contractual Clauses.
Bank feeds
If you connect a bank account, we receive its data through Stripe Financial Connections or, where it is available, Plaid. We receive the details of the accounts you choose to connect (such as the account name, type and the last digits of the account number), their balances and their transactions. We use this data only to show your bank transactions in SparkReceipt, suggest categories for them and match them with your documents. To do this, we send each transaction's date, amount, name and description, together with candidate documents from your account, to our AI provider (see "Subprocessors" above). Bank feed data is never used to train AI models and is never used for any other customer's account. You can disconnect a bank at any time in your account settings, after which SparkReceipt stops receiving data from it.
Connecting your bank through Plaid
SparkReceipt uses Plaid Inc. ("Plaid") to gather your data from financial institutions when you choose to connect a bank account through Plaid. By connecting a bank account through Plaid, you grant SparkReceipt and Plaid the right, power and authority to act on your behalf to access and transmit your personal and financial information from your financial institution. You agree to your personal and financial information being transferred, stored and processed by Plaid in accordance with the Plaid End User Privacy Policy.
"Bank feeds" above describes the data we receive through Plaid and how we use it.
Calendar trip suggestions
Calendar trip suggestions are optional and stay off until you turn them on. They turn your past meetings into suggested trips for your mileage log, and you approve or dismiss each one.
Calendars on your phone. When you turn on the calendars on your phone, the SparkReceipt app asks for calendar access. It reads the meetings of the last 30 days on the calendars you pick. All-day events and meetings without a physical address, such as online calls, stay on your phone. For each meeting with an address, the app sends us its start and end time, title and address, and your response to the invitation. The app also sends the names of the calendars on your phone and the accounts they belong to, so you can choose which ones to use. The app never writes to your calendar.
Google Calendar. If you connect Google Calendar, we request read-only access with Google's calendar.events.readonly and calendar.calendarlist.readonly OAuth scopes and read your calendar names and recent meetings from Google. We keep only the meetings with a physical address, with the same details as above, and discard the others without storing them. We never create, change or delete anything in your Google Calendar. SparkReceipt's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
How we use it. We look up each meeting's address with Google Maps Platform (see "Subprocessors" above) and suggest a trip from it. Meetings and suggestions are not sent to an AI provider. When you approve a suggestion, it becomes a trip like the ones you record, with the meeting's title as its purpose. Calendar data is used only to suggest trips in your own account. It is never sold, never used for advertising and never used to train AI models.
How long we keep it. We delete meetings 60 days after they end, together with the suggestions you did not approve. Approved trips stay in your account like any other trip. When you stop using a phone's calendars or disconnect Google Calendar, we stop reading them and remove their suggestions you have not approved. You can also turn off calendar access for SparkReceipt in your phone's settings at any time.
5. Do We Use Cookies and Other Tracking Technologies?
In Short: We may use cookies and other tracking technologies to collect and store your information.
We may use cookies and similar tracking technologies (like web beacons and pixels) to access or store information. We use them to keep you signed in, for analytics (Google Analytics and PostHog), to measure our advertising (Google Ads and Tracklution) and for our affiliate programme (Tolt). These providers are listed in section 4. You can block or delete cookies in your browser settings, as described in section 12.
6. How Do We Handle Your Social Logins?
In Short: If you choose to register or log in to our Services using a social media account, we may have access to certain information about you.
Our Services offer you the ability to register and log in using your Google, Apple, LinkedIn or Intuit account. Where you choose to do this, we will receive certain profile information about you from that provider: your email address, the provider's identifier for your account and, depending on the provider, your name and profile picture.
We will use the information we receive only for the purposes that are described in this privacy notice or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by your third-party social media provider. We recommend that you review their privacy notice to understand how they collect, use, and share your personal information, and how you can set your privacy preferences on their sites and apps.
7. How Do We Handle Your Gmail / Email Inbox Data (Only If Explicitly Enabled)
If you choose to connect your Gmail account to SparkReceipt (this feature is not enabled automatically when you sign in using your Google account), we will request access using Google's gmail.readonly OAuth scope. This access is optional and is only used to provide the email receipt import feature explicitly enabled by you.
When Gmail integration is enabled, SparkReceipt reads Gmail message content and metadata solely to detect purchase receipts and extract receipt information on your behalf. To do this, we send each message's sender, subject and text to our AI provider (see "Subprocessors" in section 4), which may not use it to train its models. We do not modify, send, or delete any Gmail messages.
Email messages identified as non-receipts are discarded immediately after classification. In these cases, only the Gmail message ID and a derived, anonymized digest may be retained for duplicate detection purposes.
Email messages identified as receipts are temporarily stored only as needed to extract receipt information and process the receipt into SparkReceipt. Raw email content is deleted as soon as processing is complete and, in all cases, no later than 30 days after ingestion.
Gmail data accessed through this integration is used solely to provide the receipt import functionality requested by the user. We do not sell, share, or use Gmail data for advertising, analytics unrelated to this feature, or to train generalized or foundation machine-learning models.
You may disable Gmail integration at any time through your account settings, after which SparkReceipt will stop accessing your Gmail inbox.
You can also connect other email inboxes besides Gmail using the standard IMAP protocol, in which case we also handle your data identically to the Gmail inbox described above.
8. How Do We Handle Your Accounting Software Data (Only If Explicitly Enabled)
If you choose to connect an accounting integration, such as QuickBooks Online, Xero, Sage, FreshBooks, Zoho Books, FreeAgent, Procountor or SimplBooks, SparkReceipt links your account using the provider's official OAuth authorization or, for SimplBooks, an API token you create in SimplBooks. This connection is optional, is never enabled automatically, and is used solely to provide the accounting integration features you enable.
When an accounting integration is connected, SparkReceipt receives a limited amount of information from your accounting provider so it can file your documents correctly: your chart of accounts (categories), tax codes and rates, vendor and customer records, payment accounts, and basic company information (such as your company's country and base currency). We use this information only to map and publish your documents into your accounting software.
When you publish a document, SparkReceipt sends that document's data โ for example the merchant or payer, date, amounts, tax, line items, and the receipt image โ to your accounting provider so it appears in your books. We publish only the documents you choose to publish.
Data exchanged through an accounting integration is used solely to provide the accounting features requested by you, and only for the account that connected it. It is never shown to other customers or sent to another integration. We do not sell this data, and we do not use it for advertising, analytics or research.
Connection credentials. The access and refresh tokens (or the API token) that let SparkReceipt reach your accounting software are encrypted at rest with AES-256-GCM. The ID of your company in the accounting software is also encrypted at rest. We never share the tokens or the company ID with anyone else.
AI processing. To suggest the right account for a document, we include the names and codes of your accounts (categories) and the names of your tax codes in the request we send to our AI provider (see "Subprocessors" in section 4). This is done only to categorize your own documents. No other data from your accounting software is sent to an AI provider automatically. If you ask SparkAgent about your merchants, payers or categories, it reads them from your SparkReceipt account to answer you, and those names can include records synced from your accounting software.
No AI training. Data from your accounting software is never used to train any AI model, whether ours or an AI provider's.
You may disconnect an accounting integration at any time through your account settings. When you disconnect, SparkReceipt revokes its access with the provider and stops accessing your accounting data. The connection tokens are deleted, and the copies of your provider's chart of accounts, tax codes, and vendor and customer records that we stored to support the integration are removed from your account.
9. How Long Do We Keep Your Information?
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this privacy notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
Data we receive through an integration you connect (such as your accounting software, email inbox, calendar or bank feed) is not used, in identifiable or anonymized form, for any purpose of our own or for any other customer. We use it only to provide the feature you connected to your own account, as described in "Bank feeds" and "Calendar trip suggestions" in section 4 and in sections 7 and 8. The anonymized digest we keep to detect duplicate emails (section 7) is part of that feature.
10. How Do We Keep Your Information Safe?
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. They include:
- Encryption in transit. All traffic to the app and its API uses HTTPS with TLS 1.2 or newer, and browsers are told to use HTTPS only (HSTS).
- Encryption at rest. Our database and file storage are encrypted at rest by our hosting providers. On top of that, we encrypt connection tokens for accounting software and email inboxes, email inbox passwords and the ID of your company in your accounting software with AES-256 at the application level.
- Passwords. Your password is stored only as a salted one-way hash (bcrypt).
- Access inside your account. Each person in an account has a role (such as owner, admin, member or accountant), and the app checks that role on the server before it allows an action.
- Staff access. Only a small number of staff can access production systems or our support tools, and every staff account uses multi-factor authentication.
- Uploaded files. Files uploaded to our storage are scanned for malware.
- Abuse protection. Sign-in, password reset and registration are rate limited.
Data breaches. If a personal data breach affects your information, we will notify the competent data protection supervisory authority within 72 hours of becoming aware of it, as required by Article 33 of the GDPR, unless the breach is unlikely to result in a risk to your rights and freedoms. We will also inform affected customers without undue delay, and tell them what happened, what data was involved and what we are doing about it.
However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
11. Do We Collect Information from Minors?
In Short: We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly solicit data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from children under age 18, please contact us at sparkreceipt@sparkreceipt.com.
12. What Are Your Privacy Rights?
In Short: In some regions, such as the European Economic Area (EEA), United Kingdom (UK), and Canada, you have rights that allow you greater access to and control over your personal information. You may review, change, or terminate your account at any time.
In some regions (like the EEA, UK, and Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; and (iv) if applicable, to data portability. In certain circumstances, you may also have the right to object to the processing of your personal information. You can make such a request by contacting us by using the contact details provided in the section "How Can You Contact Us About This Notice?" below.
We will consider and act upon any request in accordance with applicable data protection laws.
If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your local data protection supervisory authority. You can find their contact details here: https://ec.europa.eu/justice/data-protection/bodies/authorities/index_en.htm.
If you are located in Switzerland, the contact details for the data protection authorities are available here: https://www.edoeb.admin.ch/edoeb/en/home.html.
Withdrawing your consent
If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section "How Can You Contact Us About This Notice?" below.
However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.
Opting out of marketing and promotional communications
You can unsubscribe from our marketing and promotional communications at any time by clicking on the unsubscribe link in the emails that we send, or by contacting us using the details provided in the section "How Can You Contact Us About This Notice?" below. You will then be removed from the marketing lists. However, we may still communicate with you โ for example, to send you service-related messages that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes.
Account Information
If you would at any time like to review or change the information in your account or terminate your account, you can contact us using the contact information provided.
Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.
Cookies and similar technologies
Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services.
If you have questions or comments about your privacy rights, you may email us at sparkreceipt@sparkreceipt.com.
13. Controls for Do-Not-Track Features
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.
14. Do California Residents Have Specific Privacy Rights?
In Short: Yes, if you are a resident of California, you are granted specific rights regarding access to your personal information.
