What is custom data extraction with AI Fields?
Every receipt or invoice scanner reads the obvious details — vendor, date, total, tax. But businesses often need to capture data points that no standard scan collects: a supplier's VAT ID, a purchase-order number, a project code, a serial number.
AI Fields is SparkReceipt's answer to custom data extraction. Instead of opening every document and copying those values by hand, you define a field once — a short name plus a plain-language instruction for what to look for — and SparkReceipt extracts that value from every document automatically, going forward.
It sits on top of the standard scan: after a document finishes its normal OCR (which reads the vendor, totals, and dates), the AI checks each of your AI Fields and fills them in from the document's text. The result is complete invoice and receipt data extraction — the standard fields and the custom ones you defined — with no manual entry.
Define a field once, extract it forever
Creating an AI Field takes two things: a name for the data point (like Supplier VAT ID or PO Number) and a plain-language extraction instruction describing what to look for. The clearer the instruction, the more reliable the result.
Define up to 20 fields per account. Turn on multiple values for details that repeat on a single document — a list of serial numbers or line-item codes — and a document can hold up to 50 values for that field.

AI Fields only extract what actually appears in the document. The AI never invents or guesses a value — if a detail isn't on the page, the field is simply left empty for that document.
Every value stays under your control. AI-extracted values are marked so you can tell them apart from ones you entered yourself, and you can edit, delete, or add a value by hand at any time.
How AI Fields Extraction Works
Define Your Field
Give the field a name (Supplier VAT ID, Project Code, PO Number) and a plain-language instruction describing what to look for — for example, 'the seller's VAT number, usually labelled VAT No or VAT Reg No.'
AI Extracts It Automatically
After each document finishes its standard scan, SparkReceipt reads your enabled AI Fields from the document text and fills them in — no action needed on your part. Reprocess a document and the values refresh.
Review and Export as Columns
Extracted values appear on each document, ready to review or correct. Include any field in your reports, where it becomes its own column in CSV and Excel exports (and appears in PDFs) — right alongside the standard data.
